The nine steps of a date

In the order the work happens. Whatever a date is missing shows up with its action: "Screen the promoter", "Generate the contract", "Record the deposit".

Page notes

  1. 01.

    Status in words

The band says where the date stands; the color only backs it up. Readable from across the room, in low light.

  2. 02.

    One date, five tabs

Flights, hotels, payments, the contract and every change stay inside the same date.

  3. 03.

Collected when the bank says so

A recorded payment does not count as collected until the bank confirms it.

  4. 04.

The next step, with its button

One at a time, in bold. Completed steps stay above it.

The office spreadsheets

The settlement, rooming list and deposit sheets that live in loose spreadsheets today are uploaded as they are. The app reads them, flags what does not add up and previews each figure before it is applied.

Settlement

Today

A subtotal that counts the hotel twice, percentages with two different divisors, the exchange rate typed inside the formula, references to empty cells and amounts entered as text.

In TourTrust

Every line comes from its source, with one divisor and the DOF exchange rate with date and source.

Rooming list

Today

One tab copied per city, the room type in the confirmation column, two hotels told apart by cell color and passports in the same file that goes to the hotel.

In TourTrust

Rooms by night on the touring party, flagged when someone has two rooms or none. One rooming list per hotel, without passports or phone numbers.

Deposits

Today

Amount, date and method in one cell, dates without a year, cash at the office with no record of who received it, and "plus IVA" with no invoice.

In TourTrust

Each deposit is a payment with amount, currency, method, receipt and CFDI, with the balance due and its due date. The settlement reads those same payments.

Import

Today

The same figures get typed again in every sheet.

In TourTrust

Upload the full batch: findings per sheet and a settlement preview before anything is applied.

The work behind every date

Six jobs that live in spreadsheets, chats and email today, each inside its date and with its source.

One link for each party

The promoter, the side musician and the vendor respond through a single-purpose link that expires, with no account. Each one sees only their part.

AML and substance

Each date gathers what could support the transaction before the SAT, the UIF (Mexico's financial intelligence unit) or a US authority: who the counterparty was, who paid, how, how much and with which document.

TourTrust does not guarantee any outcome before any authority and does not replace the attorney or the accountant.

  1. 01

Screening the promoter and the payer

Before the date is confirmed, against sanctions and PEP lists, the OFAC SDN list, the US Consolidated Screening List and the SAT 69-B list. The record keeps each list's version, what was not checked and the hash of the query.

The UIF blocked persons list is not public. The screening shows, with its date, the public fact that would make a listing likely.

  2. 02

    Matches

A similar name on a list stays as a match to review until a person decides whether it is the same one. It opens with a passkey and the decision stays in the history.

  3. 03

    Cash with a trail

Cash at the office or cash deposit: who received it, when, with which receipt and when it was deposited. The back office shows the cash not yet deposited. The LFPIORPI bars cash above its threshold for purchases such as a vehicle, jewelry or renting real estate; a show fee is not on that list.

    LFPIORPI art. 32

  4. 04

Closeout file for the SAT and the UIF

Per date: contract, payment receipts, CFDI, show evidence and the signed settlement. Kept for at least ten years and delivered with the source of each document. What is delivered, and to whom, is the attorney's call.

    LFPIORPI art. 18-IV

  5. 05

    Mexico and the US

US dates are invoiced by the artist's foreign entity, in USD; US withholding is prepared by Cumplida. Passports and work visas for the touring party, with expiry alerts.

The artist's location and the office's data

Artist location
Hotel, room, routes, times and drivers are encrypted per field and hidden by default. Revealing them takes a passkey and is logged. A notification says something changed; it never carries the hotel, the departure time or the route.
Required second factor
Passkey or authenticator app code for every internal account, the artist and the manager. No SMS.
Each office kept apart
One office never sees another's data: every query filters by organization and the database checks it again.
Watermarked exports
Every PDF or Excel carries who downloaded it and when, and is logged in the history.
Outside parties by link
The promoter, the side musician and the vendor respond through a single-purpose link that expires, with no account.

Show day, no signal

The day sheet lives on the tour manager's phone. Without signal, it stores every entry and uploads it when the network returns.

At the venue the app switches to a dark theme on its own, to read in low light. Times, hotel and drivers are revealed only with a passkey.

Audio engineer, seen from behind, at the console during a show.

Office, manager and artist

All three work on the same dates, and each one sees the money from their side.

Office or agency
Runs the dates for every artist on the roster: what each show is missing, payments coming due, invoices to request and matches to review.
Manager
Signs in with their own account and sees the dates, payments and pending settlements for the artists they manage.
Artist
Sees their money: gross from their dates, what reached each of their entities, their net and the balance with the office. Approves what is charged to them.

With Cumplida and the accounting firm

Cumplida stamps the CFDI, reconciles the bank, checks the SAT lists and runs the tax calculations; TourTrust requests them and shows them on each date. Each of the artist's entities is linked to its taxpayer record in Cumplida, and each date's records reach the accounting firm.
